Premium member Presentation Transcript Slide 1: Merlin EMA System Coverage : Coverage Introduction to Merlin EMA System Accessing EMA Holidays Booking a Holiday Updating and Cancelling a Holiday Unpaid Leaves Self-Certification Form The Merlin EMA System : The Merlin EMA System The Merlin EMA (Employee Management Application) System replaced Simply Personnel, which was the HR System used before. Cascade is the software that was reconfigured to Merlin’s HR needs – Cascade has the ability to integrate all modules which includes training, payroll, timesheets and HR Accessing the EMA System : Accessing the EMA System To access the EMA System, the URL is https://ema.misgl.com. Log in using your credentials from your HR Administrator. This is the welcome screen for the EMA System. Quick Links : Quick Links Quick Links allow an employee to access their own requests, their holiday page and a phone directory. This side navigation bar also allows a person to access the planner to view his/her teammates who have planned holidays, a tasklist and the organizational chart. Dashboard : Dashboard The Dashboard shows the remaining balance of holidays for the employee. Task List Summary : Task List Summary The Task List Summary identifies the tasks that need to be completed – Eg: Completing a Self-Sick Form Holidays : Holidays There are three ways to book holidays Dashboard Menu Holiday Screen Option 1: Dashboard Option 2: Quick Links Option 3: Holiday Screen Entering Holiday Details : Entering Holiday Details Once you’ve arrived at the holiday booking planner, choose the dates that you wish to take as holiday. Once you’ve dragged your mouse across the dates you wish to file as a holiday, a box appears indicating whether you wish to save it or cancel. This screen confirms the dates as plotted in the planner. If everything is correct, click on SAVE at the bottom of the screen. This is so I can spend time with my family for Christmas… Kindly approve. Thanks. Once you’ve clicked on SAVE, the request will be visible in your manager’s requests. Managing your Request : Managing your Request To manage your requests, just click on the “My Requests” link. The face in the square means that this hasn’t been approved or disapproved by your manager. Request has been approved. Request has been disapproved. If your requests can’t be seen, you can filter it by the criteria below: Updating/Deleting your Requests : Updating/Deleting your Requests From this screen, you may delete or change your Holiday Request. Unpaid Leave : Unpaid Leave This screen shows the leaves/absences that you’ve incurred for the past few weeks. To request for an unpaid leave, simply click on REQUEST ABSENCE at the bottom of the page. The next screen allows you to enter the details of the leave you’re requesting for. For unpaid leaves, tag “Unpaid Leave” as the Leave Category . The dates can be populated using a calendar. Person notified should be your line manager. Make sure that you untick the Open Ended box. Provide a narrative of why you are taking the leave. Simply click on SUBMIT REQUEST once done. Self-Certification Forms : Self-Certification Forms Self-certification forms need to be completed every time an employee calls in sick. The task list usually shows the forms that need to be completed by an employee. The task list is a great way to keep track of your pending forms to complete. There is a due date which shows when a form’s deadline is. The next step after clicking on the form is to complete the form. Another window will appear where all the details will be shown. This form needs to be completed. There are mandatory fields that need to be filled out. Once the form has been submitted, make sure to click on SUBMIT FORM.
