Paxson Immediate Past President CHADD – Children And Adults with Attention-Deficit/Hyperactivity DisorderAbout today’s training: About today’s training A “mock” planning session – using an easy method that you can accomplish in 1 meeting We will be demonstrating the method By substituting the topic of “Building Attendance” it will become an interactive brainstorming session so you can take ideas back to your communityWhy do a long-range plan?: Why do a long-range plan? Do you hear this at your board meetings: “ hey, why don’t we do A? “hey, let’s start doing B?” “lets add “C” to what we offer” Then before you know it, you are all over the map Do you have new board/committee members that you want to bring up to speed quickly? Do you spend a lot of time fine-tuning and problem-solving?Why do a long-range plan?: Why do a long-range plan? Do you have board members who seem out of sync? Did they miss a meeting and don’t really understand why a decision was made? Are you really responding to the needs of your local community? Or reacting in an unplanned way? Remember that plans can always be modified later to take advantage of new opportunities or to address new challenges !Who to invite?: Who to invite? not just BOD and committee chairs Get a variety of perspectives PAB or area professionals that serve the ADHD community Your meeting attendees Representatives from other, similar disability non-profits Any one you consider a “trusted advisor” who understands the needs of your local ADHD communityA Word of Caution about your participants: A Word of Caution about your participants Sticky situation that is rather common: participation from someone with severe adult ADHD. (use a survey or call/e-mail them privately If they must be in attendance, try to tactfully arrange a signal in advance Have an experienced facilitator BUT remember…this is plan is going to be completed in 1 session. So if anyone is going to complicate the meeting, it will be a problem!When to have the planning session?: When to have the planning session? Perhaps not at night when meds wore off Chester County/Main Line CHADD has had success with a Sunday afternoon from 1:00 to 3:00Where to hold the planning session?: Where to hold the planning session? conference room, easy to find location You will be writing on several index cards so having a writing surface is important Circle or conference table vs. classroom setup and you will need a large tabletWhat is the method?: What is the method? A facilitated brainstorming session, followed by the rank ordering of the ideas that are collected. The beauty of this process is that the ranking is done individually via index cards. (don’t “cheap out” and use slips of paper. Sturdiness saves time.) This give people the opportunity to put forth their real preferences. And it cuts down on discussion and chatter. (Remember this is a 2 hour meeting)A common challenge at planning meetings... the criteria!: A common challenge at planning meetings... the criteria! Selecting the criterion for ranking. Common criteria are: Importance Urgency Feasibility (what is do-able) Suggest you use importance . Because Urgency = short-term tunnel vision thinking Feasibility = get easy stuff that will happen anyway Urgency and Feasibility tend to be "inside the box" thinkingStart with a question: Start with a question Chester County/Main Line CHADD’s most useful criteria Answer this question: How can we best serve our local ADHD community?Method: Who facilitates?: Method: Who facilitates? Brainstorm answers to the question and write each idea on the tablet. This becomes the master list. As ideas are added to the master list, everyone writes the idea on separate card. Fine-tune the master list; consolidate similar ideas When the master list is complete, the sorting starts.Method: Ranking Process – part two: Method: Ranking Process – part two Each participant sorts their cards privately. The first cut is just "top half" or "bottom half", very loosely defined.
