Key Messages:

Key Messages There is benefit to harmonizing metadata across the enterprise Need to identify the Authoritative Source Benefits Improved operational efficiency Improved management information Improved ability to migrate acquired documents 3

Difficulties with Metadata:

Difficulties with Metadata Typically the content creator has the most added work with the least benefit Many designs clutter property screens with optional information. If you’re busy, you don’t see the benefit and it is optional, why fill it out. Inconsistencies limit usefulness. Misspelling and different terms cause later stage issues 4

Start by mapping the process:

Start by mapping the process 5 Data Sharing or Dashboard

What information is Needed:

What information is Needed Start at the end of the process streams Use a model EDM Reference Model TMF Reference Model What data is useful at each point in the process? Where does it come from? 6

Slide 8:

8 Points of Use

Slide 9:

9 Points of Use

Identify the Authoritative Source:

Identify the Authoritative Source To minimize input tasks and maximize utility harmonize metadata Where is the Authoritative Source (source of truth)? Authoritative Source may be outside your walls Are there downstream limitations on use of the data from the Authoritative Source? Field constraints in software Need for information before it is available from source Is the Authoritative Source global? 10

Example for Indication:

Example for Indication Medical Condition from Veterans Health Administration and Kaiser Permanente (VA/KP) Problem List subset of SNOMED is required for Structured Product Labeling. A managed subset is a good source for indication 11 SCTID Fully Specified Name Date Of Status Change Subset Status SNOMED Status Metadata Dictionary Status 233985008 Abdominal aortic aneurysm (disorder) 4/2/2006 ACTIVE ACTIVE (Current) ACTIVE 51387008 Acidosis (disorder) 4/2/2006 ACTIVE ACTIVE (Current) ACTIVE 11381005 Acne (disorder) 4/2/2006 ACTIVE ACTIVE (Current) INACTIVE 62479008 Acquired immune deficiency syndrome (AIDS) (disorder) 4/2/2006 ACTIVE ACTIVE (Current) ACTIVE

What is in a Name?:

What is in a Name? How do you deal with compound/product name? Investigational Number: WD-234516909 Shortened R&D Name: WD-909 Generic Name Proprietary Name (by Region) The use of Alias can help resolve this dilemma 12

Making use of Alias:

Making use of Alias Property Entry Status Wonder Drug Current Active Name acetylsalicylic acid Alias 2-acetoxybenzoic acid Alias WD-234516909 Alias WD-909 Alias Current Active Name would progress with development First WD-234516909 Second 2-acetoxybenzoic acid Third Wonder Drug™ Folder Structures can be based on Current Active Name 13

Establish Relationships:

Establish Relationships Property Name Value Trial Number WD-347 Control Type active-control-without-placebo Discipline Efficacy and Safety Dosage Form Capsule Indication Acidosis Study Phase Phase 3 Associated Compounds None Limit the amount of information general users have to enter With a relationship established in the database, all this is auto-populated when Trial Number is selected. 14

Enable Business to Manage Dictionaries:

Enable Business to Manage Dictionaries What is the first organization that needs to use the data? Establish a user class that has the ability to enter property values in the database. Assign two or more users from this organization Make sure they use the “Authoritative Source” for their entries. Down stream users and systems have metadata that either auto populates or is in a reasonable value assist list 15

Migration and Mass Import:

Migration and Mass Import Once standardize utilities that leverage the common database entries can be used to copy common attributes to collections of documents. Select one document, set properties, copy to collection for import and execute 16

Summary Approach management of metadata with holistic view – look at the whole process chain Move entry of metadata to key business users as far upstream as possible Enter data once and then auto fill or use value assist Utilize the capabilities of the relational database to minimize work for end users 17
