Purpose :

Purpose To create an organized method of using electronic health records using the break down of tasks needed Also to effectively create a timeline based on the schedule created

I n this project you are asked to plan implementation of an electronic health record in an organizations using the the work break down tasks described below.  In the following tasks, training on a system can only be done if the system has been configured.  Your objective is to develop a schedule:  Patient Information Management Admission, Discharge, and Transfer (requires configuration in subtask B, configuration lasts 30 days, training lasts 5 days)  Patient Registration (requires configuration of subtask C, configuration lasts 3 days, training lasts 5 days) Enterprise Master Patient Index (configuration lasts 3 days) Patient Scheduling (requires configuration of subtask B, configuration lasts 10 days, training lasts 5 days) Clinical Information System (requires configuration of systems but not training in tasks 1, 3,4) Clinical Alerts and Reminders (requires configuration of subtask B, D, E, G, configuration lasts 30 days, training lasts 5 days) Clinical Rules Engine (configuration lasts 10 days) Consults Tracking (requires configuration of subtask G, configuration lasts 3 days) Order Management (requires configuration of  subtask H, configuration lasts 30 days, training lasts 5 days) Results Reporting (requires configuration of subtask D, configuration lasts 3 days, training lasts 5 days) Clinical Documentation (requires configuration of subtask E, configuration lasts 3 days, training lasts 5 days) Computerized Provider Order Entry (requires configuration of subtasks F, H, I, and J, configuration lasts 45 days, training lasts 15 days) Intake/Output (configuration lasts 3 days, training lasts 5 days) Patient Education (configuration lasts 3 days, training lasts 5 days) Vitals/Measurements (requires configuration of subtask H, configuration lasts 3 days, training lasts 1 day )

Schedule (high level tasks):  Show project Work Breakdown Structure showing high-level tasks, start time and finish time.  Please make sure that this information can be read clearly.  Schedule (Sub-tasks): List the start and end of each task.  Critical Path:  Make a list of activities on the critical path and show the GANTT chart Introspection (what did you learn from this exercise): Is Project Management software useful and why?

To add a task click on the clock icon and type in the name of the task. Then press Ok. :

From the tasks described, the first subtask was admissions, discharge, and transfer. in order to add a subtask, you click on the clock icon again and then click the indent icon to let the system know it’s a subtask that needs to be submitted. :

From the described subtasks it mentions two concepts; configuration and training. these two need to be placed under the subtasks with the appropriate duration time listed in each step. To add configuration under ADT, you click on the clock icon, and press the indent icon again. In order to open the properties tab for any task or subtask, double click on the name and the above screen should pop up. :

The next concept we need to add is training. For this you click on the clock icon again and type out training. You don’t need to click the indent icon this time because it should automatically be indented from when you typed “configuration”. Then double click on the word “training” and you’ll be brought to the properties tab.:

The next subtask is Patient Registration. In order to add this subtask to the list, first go back and click on ADT so that it’s highlighted ( do not double click, we don’t need to open the properties tab for ADT). After you see the highlight on ADT, click on the clock icon again. You can then type out Patient Registration. :

You will be following the same steps when adding the configuration and training times for this sub task as you did the last time for ADT. Again, in order to add configuration underneath Patient Registration, press the clock icon and then the indent icon and type out configuration. Then double click on the name “configuration” and in the duration space, type in 3. Then press ok. :

After the Patient Registration subtask is complete, you will then go on to the next one which is Enterprise Master Patient Index (EMPI). again, before adding the sub task, go to the last subtask which is Patient Registration, (make sure it is highlighted by click on the name just once), and then clicking on the clock icon. You can then type out Enterprise Master Patient Index (EMPI) as your new sub task. Then to add in the configuration and training concepts be sure to click the clock icon and then the indent icon. :

A fter the Patient Registration subtask is complete, you will then go on to the next one which is Enterprise M aster P atient I ndex (EMPI). again, before adding the sub task, go to the last subtask which is Patient R egistration, (make sure it is highlighted by click on the name just once), and then clicking on the clock icon. You can then type out Enterprise M aster P atient I ndex (EMPI) as your new sub task. Then to add in the configuration and training concepts be sure to click the clock icon and then the indent icon.

After all four subtasks for Patient Information Management are added, we need to go back and add in our predecessors. This was the set of instructions we skipped in order to first add in all of our subtasks with the appropriate configuration and training timings. :

For Patient Registration it says requires configuration of subtask C. You will follow the same instruction as previously mentioned. Sub task C is EMPI, so you will again, double click on Patient Registration, go to the predecessors slot/tab and add in sub task C by scrolling down the provided list and selecting EMPI. Then click enter. :

As you can see, there are no instructions for EMPI for predecessors to be added so for this sub task it will be left alone. :

Finally for Patient Scheduling, it says requires configuration of subtask B. You’ll follow the same exact instructions and add in Patient Registration as the predecessor for Patient Scheduling. :

After you’re done with the entire process for the first task, you want to see the Critical Path of the GANTT project you just created. To do this, go to the top right side of the page and click on show critical path. You will be able to see the red indicators letting you know you can see the critical path. :

Critical Path:

Critical Path This is what the critical path should look like. The critical path shows sub tasks with their duration times from when they begin to where they end; along with when one sub task can be overlapping with another sub tasks.

Introspection :

Introspection The use of this system was very easy to understand and follow. It looks to be very beneficial for all health care systems because it has many great tools you can view like the critical path, duration times, the tasks listed out, etc. This software can allow for a more efficient way of working rather than relying on old outdated systems or documentation.
