Meaning of E-Mail :

Meaning of E-Mail E-mail is the short form of electronic mail. E-mail is a wonderful way of sending messages, pictures, videos, songs, movies etc. on internet. For sending these things we do not have to use papers. . The messages can be sent anytime round the clock. E-mail is the fastest, the easiest and the most economical mode of exchanging information among people living in different places of the world.

Advantages of Electronic Mail System:

Advantages of Electronic Mail System The messages can be sent instantly without any delay. The message reaches the mail-box of the receiver directly. Even if the recipient is not available, the e-mail can be delivered in his mail box. One does not have to use paper for e-mail messages. Email is good to make appointments for busy people. E-mail can be sent to a large number of people at the same time. E-mail messages are totally secure and are highly confidential.

Disadvantages of E-mail :

Disadvantages of E-mail E-mail messages are sent on computer through internet. You should have a computers system at your home and also internet facility otherwise you will have to go to cyber cafe or other place. For availing the facility of internet one must have at least basic knowledge of computer. The message can be sent through e-mail at the click of a mouse. If you send the message at a click and suddenly come to know that you have written something wrong in the message, it becomes too late. E-mail can become time consuming for answering complicated questions and misunderstanding can arise because cultural differences in interpretation of certain words

Some Important guidelines for effective use of E-mail: E-mail security: Do not open an attachment or click on a link in an email from someone you don’t know. If the content of email looks suspicious, but it is from someone you know-don’t open until you clarify it with the sender first . 2 . Feedback : Email is the highly effective medium of communication but a wise company needs to treat the recipient like a person not a number on a mailing list.

Sending e-mail:

Sending e-mail For sending an e-mail message, the user needs an internet ready computer. Internet ready computer means a computer fitted with a modem connected through a telephone line. Modem is a small electronic circuit board which helps coding/encoding signals sent through telephone line and converts into readable form on the computer screen. The user clicks the Internet Explorer icon on desktop. It opens the internet Explorer window. In the address bar the user types the address of websites to use e-mail facility e.g ., http :/ www.hotmail.com http:/www.rediffmail.com http :/www.yahoo.com

Format of an email message: :

Format of an email message: Like a formal letter e-mail is also divides into various sections. Like in a good business letter, you have a sender’s name and address of the recipient, subject, an important message. To: The to field contains the email address of the person to whom you are sending the email. From: It contains the email address of the sender, we do not need to type it since it is automatically taken from the system. Subject: The subject field should contain a very short description of what your message is about. This field is also called subject of the message. Cc: you can send the copy of the same mail to another person. For this you have to mention the email address of the second recipient. Bcc: Blind Carbon Copy: You may also send a blind carbon copy of the same message to another person.

6. Attachment : Using this option, you can attach a file created in another software along with this email. 7. Date : The word system automatically takes the default date on which you type the message, so you need not to type it. 8. Body : The body of an email message is simply the text that you want to send to the other person.
