Be sincere tactful and thoughtful even if its just an email. In the business world almost everything starts and ends with courtesy Much can be accomplished if tact, diplomacy, and appreciation of people are woven into the message CLARITY : CLARITY Have a definite purpose of writing and make sure it is clearly communicated up front. Be bold and connect quickly. The first stage is the clarity of the mind of the sender. The second is the transmission of the message in a simple way that is easy to comprehend. CORRECTNESS : CORRECTNESS The statements in the email should be correct and framed in a way that the receiver can easily decode it and understand. If we are deciding to back up the email with facts and figures there should be accuracy in stating the same. Be complete- include all necessary facts and background information to support the message you are communicating. CORRECTNESS : CORRECTNESS DOUBLE CHECK – your spelling punctuation and grammar Proof read it before you send it ! We cannot afford to make mistakes ! Make sure You have provided all necessary information Answer all questions asked Give something extra, when desirable. CoNsIsTeNcY : CoNsIsTeNcY There shouldn’t be too many ups and downs that might lead to confusion in the mind of the receiver. If a certain stand is taken be bold enough to present it. Also If the sender desires to bring about a change in the understanding of the situation, he should ensure that the shift is gradual and not hard for the receiver to comprehend. CONCRETENESS : CONCRETENESS Concrete and specific expressions are preferable against vague and abstract expressions. Facts and figures should be specific Avoid clouding the mind of the receiver. A receiver is more likely to comprehend and respond to factual details. CONSISENESS : CONSISENESS The message to be communicated should be as concise and brief as possible.
