SharePoint:

SharePoint an easy way to share and organize documents on the web by uploading to “Document Libraries” it provides functionality for managing documents

How it works… :

How it works… Launch Internet Explorer Type http://denrsharepoint at the location toolbar to access DENR SharePoint site

Navigation :

Navigation Global navigation is a horizontal list of links to the main sites. May also called as tab. All users have access to these links depending on their assigned permissions . Only administrators can add, modify and delete navigation links in the list.

Navigate to a Regional Site :

Navigate to a Regional Site Click on Regions tab From the left navigation, click on your Region # link such as Region 1 or Region 2. In this example, the user clicked on Region 1 link.

PowerPoint Presentation:

User will be redirected to Region 1 site. The breadcrumb highlighted in red below is a guidance on where you are from DENR home page. The left navigation in yellow box shows links to all PENRO sites of Region 1 The document library link in blue on the left navigation brings the user to a library where he can upload documents for Region 1

Navigate to a PENRO Site :

Navigate to a PENRO Site Click on PENRO tab From the left navigation, click on your PENRO name link such as Pangasinan or Pampanga . In this example, the user clicked on Pangasinan link

Navigate to a CENRO Site Click on CENRO tab From the left navigation, click on your CENRO name link such as Dagupan or Urdaneta . In this example, the user clicked on Dagupan link

Managing a Folder :

Managing a Folder Create a new folder Navigate to the site you want to create a new folder Click on New Folder button from the menu bar

PowerPoint Presentation:

Enter the name of the folder you want to create then click OK button Folder is now created

PowerPoint Presentation:

Delete an existing Folder Navigate to the site you want to delete folder Click on the action menu arrow beside the folder name Once the menu showed up, click on Delete

PowerPoint Presentation:

A confirmation message will appear. Click OK button The folder is now deleted.

Managing Documents :

Managing Documents Upload a document Navigate to the site you want to upload a document Click the Upload button from the menu bar

PowerPoint Presentation:

Click on the Browse button to browse for the file to be uploaded

Choose the file from your computer to upload. Click Open button

PowerPoint Presentation:

Click OK button Enter attributes of the file such as Title and File Name . then, click OK button.

PowerPoint Presentation:

Once you see your document in the list, it means the document was uploaded successfully.

Upload multiple documents Navigate to the site you want to upload documents Click the Upload Multiple Documents button from the menu bar.

Drag and drop multiple documents stored on your computer to the upload box in SharePoint

PowerPoint Presentation:

The list of documents to be uploaded will be listed. Click OK button.

PowerPoint Presentation:

The upload progress will be shown on the bottom left of the screen Once upload is done, click on Done button

PowerPoint Presentation:

Once the documents are listed already, it means the documents were uploaded successfully.

PowerPoint Presentation:

Edit a Document Navigate to the site you want to edit a document Click on the arrow icon beside the document file name Click on Check Out link.

PowerPoint Presentation:

Once the icon with arrow is displayed beside the document name, it means the document is currently checked out to you. No other user can modify it until the document is checked in again. Click on the document name.

Click OK button on the warning message. Wait for SharePoint to open your office program. Edit the document using your Office program

PowerPoint Presentation:

Once editing is done, click on the Save icon and then, click on Exit icon of Excel. A message will appear asking if you want to check in the file, click on Yes button.

Enter your version comments. For example, “updated worksheet 2 of this file”. Click OK button. Go back to your SharePoint site through your browser, once you see the check-out arrow icon is gone, it means the document was successfully edited and checked in.

Download a document Navigate to the site you want to download a document Click on the arrow icon beside the document file name and select Send to -> Download a copy

PowerPoint Presentation:

Click Save button and browse to the folder on your computer where you want to store the document downloaded from SharePoint site. A copy of the document is now stored on your computer.

Delete a document Navigate to the site you want to delete a document Click on the arrow icon beside the document file name and select Delete

PowerPoint Presentation:

A confirmation message will appear, click OK button The document is now deleted.
