For schools whose campus, district and/or state funds pay for the students' entire AP exam cost. This presentation doubles as a "How To" and an introduction to Excel Registration's AP exam registration services and shows how the AP exam coordinator uses Excel Registration's reporting and email functionality to ensure accurate exam ordering and orderly exam administration sessions.

Things to Remember from Presentation 1b Student registration is a four step process Account creation (student action) Exam selection (student action) Exam confirmation (student action) Exam selection verification (exam coordinator action) Exam verification completes the fourth and final step of the registration process Until payment is remitted, the student’s registration status remains pending Students with a pending status can be viewed and emailed via the pending status reports and email distribution links

The Coordinator Home Page is accessed from the Excel Registration home page ( www.excelregistration.com ).

Entering login credentials in the fields provided grants access to the Coordinator Control Panel .

To avoid ordering exams that will go unused due to conflicts, access the Exam Conflicts link.

Use the download link to produce a list of examinees and their exam conflicts. Use the sort feature in MS Excel to help prioritize those exams to administer during the regular testing window and identify exams to be administered during the alternative administration window.

Next, click the Exam Rosters link to bring up the roster summary.

The Total Registered column includes students whose exam selections have not been verified exams…order with caution! The Total Paid column includes students whose exam selections have been verified by the exam coordinator. The identified and prioritized exam conflict list allows the coordinator to deduct the appropriate number of exams that should be ordered for alternative testing from each specific subject. This helps to save the school unused exam fees by providing accurate numbers for ordering with the College Board.

Click the Exams by Student link to access a roster of students with each of their exams listed. Optional: Student Exam Verification Report

Once downloaded, delete the unneeded columns from the MS Excel file, leaving student ID and grade level information only. The file can then be formatted to display in a public location at the school for a student verification step.

After the Exam Materials Arrive:

After the Exam Materials Arrive Use the Email to All Students link to remind students of the preadministration session schedule posted on the school’s registration home page Once the preadministration sessions have been completed and all exam packets are ready to go, there are two more valuable time-saving reports to use -the Students Taking One Exam report -the Students Taking One Exam as of “Now” report

The Students Taking One Exam report identifies students who will take only one exam. Remove these students’ packets from the student packet sort stacks and place them with their selected exam materials.

The Students Taking One Exam as of “Now” report will update as exam administration windows pass For example, a student taking two exams won’t appear on this list until their first exam time and date has passed Throughout the exam cycle, use this list to keep the student packet sort stacks as manageable as possible

Before the Exam Window Opens Verify and plan for exam accommodation needs with the Requested Accommodations report Identify and code answer documents for a reduced exam fee using the Free/Reduced Lunch Roster Update the schools exam registration home page as needed using the links in the Coordinator Control Panel
