T he OPENER: Responsible for prospecting, building relationships for client acquisition direct or through brokers, servicing/maintaining client. Tools: Site Seller Binder & New Account Kit Market direct to businesses and/or work with brokers. Set appointments for benefit evaluation/discovery. Give decision maker presentation positioning appropriate products & services. Complete new account paperwork & conduct client welcome call. Inform client: coordinator will follow up to confirm/schedule enrollment, provide announcement, gather census, etc. Provide completed new account kit to coordinator to start enrollment process. Participate with enrollment by conducting or having presence at initial group meeting. Conduct post enrollment meeting with client/broker providing ‘take-back’ packet prepared by coordinator. Maintain on-going relationship & service needs for new hires and annual re-enrollment . Leave the coordinating to the coordinator... GO OPEN ANOTHER GROUP! Discuss enrollment process & proper working conditions for a successful enrollment.

The COORDINATOR: Responsible for implementing and managing enrollment process for a successful enrollment from pre to post enrollment and assisting in service and account management. Tools: New Account Kit & Coordinating Kit Review & discuss with opener: enrollment level to perform, product offering, enrollment expectations, working conditions, etc. Contact client and/or broker to start pre-enrollment process: confirm/schedule enrollment, provide announcement, gather census, provide enrollment calendar/timeline. Prepare Harmony database specific for enrollment level to perform and product offering. Obtain approvals from carriers if performing core enrollment for use of enrollment election form and/or data unload. Schedule/assign, communicate, conduct pre-enrollment training for enrollment team covering enrollment guide, products, expectations, working conditions. Monitor enrollment process and assist during initial group meeting. Close out enrollment and download enrollment election forms, summary reports, deduction file. Prepare/provide opener ‘take-back’ packet. Include: thank you letter, PA enrollment survey, deduction report, summary reports, enrollment forms, service forms, new hire enrollment plan. Assist opener by providing on-going service for new hires & annual re-enrollment. Assist in district account management.

The BENEFIT COUNSELOR: Responsible for educating, positioning and enrollment of employees during group/individual enrollment. Tools: Trunk kit Review enrollment guide and any other items included with instructions. Review Harmony database and download offline prior to enrollment. Prepare for enrollment and/or create employee packets as outlined in enrollment guide. This includes appropriate product brochures, policy holder service guide, business cards. Communicate and/or enroll employees in Colonial product and/or core products, if required. Provide employee with enrollment election form, salary illustration, benefits statement, product brochure, service guide & business card. Explain service/claims process. Follow up and resolve outstanding underwriting memos. Assist opener by providing on-going service for enrolled employees and new hire enrollments.
