Before Program Begins : 

Before Program Begins READ YOUR MANUAL!!!! Meet with building principal Check facilities plan, Make arrangements to get keys Advertise the program! Found Objects—Local newspaper, radio, memo to teachers, etc.

Talk with teachers whose rooms you will use Thank them for the use of their room Ask them to leave teacher scissors, tape dispenser, stapler, cd player, etc for your use MAKE SURE YOU KNOW WHAT YOU CAN AND CANNOT USE!!!!

Recruit children Get applications run off Children receiving free or reduced lunches Those receiving Title I Entering 1st – 6th grades (can be a kindergarten retainee) Can commit for the entire 6 weeks Do not have access to other educational opportunities Children who can work in the Energy Express Model Recruitment Ideas Talk with teachers Posters around the school and in town Mentors visit the classrooms Have children who have attended give testimonials PTO Presentation Local Newspaper &Radio Spots

Order supplies Check on availability of library books School Libraries Title I Teachers Public Libraries College Libraries Read Aloud West Virginia ( 304-342-7850) Check on transportation Get copy of applications to transportation director so that bus schedules can be made Be sure they know the dates and times of program

Make Contact with your mentors Telephone Call Note in the mail Arrange a meeting at the site Give them Mentor Manuals and an assignment Tell them some things to start thinking about (I.e. community service project, what they need to bring the first day of training, time of on site training, etc. Meet with the county contact to discuss handling of paper work Signing, mailing, copying,,etc.

Meet with VC Give them their Resource Notebook and a Mentor Manual Be in touch with county contact to get Volunteer Recruitment Chart Brainstorm other sources of volunteers Mail letter to potential volunteers (found in VC Resource Notebook) Tell them some things to start thinking about (I.e. community service project, what they need to bring the first day of training, time of on site training, etc Discuss how to make volunteer schedules. Be ready to copy volunteer sign-in sheet, information sheets and logs on return from state-wide training. THIS SHOULD BE IN PLACE BEFORE VOLUNTEERS BEGIN Decide where to keep confidential volunteer materials

Arrange for someone to administer pre and post test (Woodcock Johnson) First and last weeks for children Arrange to have a computer with Internet and e-mail capabilities Count and sort Take Home Books

Complete Health and Safety Management Form and contact appropriate safety and health agencies Check children’s applications for complete information Medications, allergies, picture-taking restrictions, emergency contact info, who can pick-up, complete address and phone numbers, etc.

Assign children to mentor groups Make copies of Activity Plan for mentors Plan your on-site training for mentors and volunteer coordinator Are you feeling overwhelmed?!?!

During On Site Training : 

During On Site Training Administer Mentor and Volunteer Coordinator Pre-Service Surveys. Pre-Service Surveys must be completed before doing anything else! Start Team Building Train mentors and volunteer coordinators to start tracking their time

Training activities before going to WV Wesleyan Welcoming Activity Breakfast, game… Discuss the importance of maintaining a positive attitude—WE MUST MODEL THAT BEHAVIOR DURING THE ENTIRE PROGRAM IF WE WANT TO SEE IT IN OUR MENTORS AND VOLUNTEER CORRDINATORS! Complete any other paper work Talk about your expectations of each mentor and vc and what your goals are for the summer

Discuss the Energy Express Model Watch training videos Practice strategies discussed on videos Read Aloud Shared Reading Strategies “Surf the Manual” Tour facility & make room assignments and giver class lists Have mentors and vc document the arrangement of their room before moving in Video Draw diagram Take pictures Label any furniture that is to be moved out (be sure to have a storage room available)

Discuss your daily schedule 8:00 Arrival 8:00-8:30 Prepare for the day/Greet children as they arrive 8:30-9:00 Breakfast 9:00-11:30 Reading,Writing,Art, Non-competitive Recreation, One-on-one Reading 11:30-12:00 Lunch 12:00 Dismissal of children 12:00-2:00 Clean-up, preparation for the next day, Reflection, Team Meeting Discuss and practice family style meals

Assist with panning and conducting an Open House (usually held during community week) Keep on-going and open communication with team members Use Energy Express Site Checklist (MM pg 9:18) as a team meeting topic to assess your site

Administer the post test during the two days of the program Box and inventory all Energy Express books and material. Make arrangements to store these Assist team in returning all borrowed materials and furnishings to their original place Refer to photos, videos and/or drawings done at the beginning of the program
