Getting Started with ISIS – Signing In : Getting Started with ISIS – Signing In Enter your ISIS Administrator’s User Name (as provided by SportsPilot) Open your Internet Explorer web browser and go to www.SportsPilot.com/ISIS You will be taken to the page shown below….. and your Password (as provided by SportsPilot)
and your Organization name (as provided by SportsPilot) Then click on 'Submit'
ISIS Administrative Control Page : ISIS Administrative Control Page For your initial setup, click on the 'Administration' tab – This will take you to the Administration Functions page This is the Administrative Control page - the heart of the ISIS Back-Office Management system
ISIS Administrative Functions Page : ISIS Administrative Functions Page Click on 'Organization Information' to add or edit information about your organization Manage Users, Programs, Leagues and other settings from Administrative Functions page
ISIS Organization Information : ISIS Organization Information This is the Organization Information page This page will be blank if you are just getting set up.
To enter or edit data on this page, click the 'Edit' button Enter your organization’s name – As you want it to appear on the registration pages Enter your organization’s website address (URL) Enter the Email address you want questions or comments to go to Enter a brief description of your organization, its purpose, goals andamp; scope. Enter a brief general comment about your registration policies – You will enter program-specific notes later. Enter your organization’s Phone #, FAX # and complete address Click 'Save' to save your input and return to the previous screen
Click 'Cancel' to exit without saving your input andamp; return to previous screen This is a sample of a completed Organization Information page – The data shown here is for example purposes only – Your page will show information you entered. NOTE: If you will Email an image of your organization’s logo to support@sportspilot.com we will set it up to appear in this space on all of your pages. If you are finished with the Organization Information page, click on 'Administration' to return to the Administration Functions page
ISIS Administrative Users : ISIS Administrative Users This is the Administrative Functions page It is likely that you will want to give other people limited access to your ISIS administrative interface so they can do data entry, set up programs, leagues or teams, etc.
To add or edit Administrative users, click on 'ISIS Users' This is the ISIS Users Page If this is your initial setup of ISIS you may only see YOUR entry here as a User. To create a new Administrative User, click on 'Create New User' Click here for a pull-down list of available Administrative levels. You can assign new Users to any level below your own. Enter all the data in ALL blanks. Be sure to carefully enter the new User’s Email address – VERY Important! Give the User an easy to remember User name Give a complex, alphanumeric Password with 6+ characters Repeat Password to verify Click 'Save and Email' to save and Email data to new User andamp; return to User page Click 'Save' to save and exit without Emailing data to new User
Click 'Cancel' to exit without saving. Now we’re back to the ISIS Users page with the new User now being displayed (example data shown) To exit this page and return to the Administration Functions page, click on 'Administration' In this example the new User has a Permission Level of Data Entry Operator (DEO)
ISIS Administration – Adding/Editing Officials : ISIS Administration – Adding/Editing Officials This is the Administrative Functions page This is the ISIS Officials Page Click on 'Officials' to add or edit Scorekeepers, Referees and other Officials Officials, their gender, sports, active status and how they get paid are listed here. Click 'Create New Official' to add an Official to the list. This is the 'Create New Official' page To create a new Official, complete the information in all the blanks To add more detailed information (Date of Birth, DL #, SS #, Race, Member #) click on 'Additional Info' Select Official’s experience from the list then click on 'andlt;andlt;Add' -
When you click on 'Add' an experience window will appear for completion Click here if Official is to be currently active Click here if Official is a paid contractor (not an employee) Click to save andamp; add another Official – Click Cancel to exit without saving Click to clear the current form and start data entry again Click to save and return to Official page without entering another new Official Now we’re back to the Officials page To Edit an existing Official’s information, click on their name from the list This is the Officials Edit page Edit information as required When finished, click on 'Modify Only' to save your changes and return to the Officials page

ISIS Administration – Financial Accounts : ISIS Administration – Financial Accounts This is the Administrative Functions page From the Administration Functions page…. As you use the ISIS system to collect your Registration fees and other monies, you will likely want to allocate the income and expenses to each of your sports program Accounts so that you can get financial breakout reports.
To set up your Accounts, click on the 'Accounts' link This is the ISIS Accounts page Each of these represents an 'Account' into which funds are credited or debited. Reports can be generated to depict Income, Expenses or Profit/Loss on an account-by-account basis. To create a new 'Account', click on the 'Create New Account' button Enter the new financial Account’s name Click the arrow for a pull-down menu and select either 'Income' or 'Expense' as an 'Account Type' Click on 'Save' to save your information and return to the 'Accounts' page
Click on 'Cancel' to exit without saving When finished, click on the 'Administration' button to return to the Administration Functions page And, we’re back to the Administration Functions page…. Next we’ll create/edit the information that gets printed onto the header of the receipts your registrants receive when they register on-line.
Click on 'Receipt Header'
ISIS Administration – Receipt Header : ISIS Administration – Receipt Header This is the Receipt Header editing page…. Add or edit information in this area as you want. Information here will print out on the top of each registration receipt. Click on 'Save' to save your edits.
Click on 'Cancel' to exit without saving. Click on 'Administration' to return to the Administration Function page This is what a printed receipt looks like…. Notice the red text, based on our input, in the header of the receipt.
You can also use this to inform the registrant about your refund policy as well.
If this registration was done On-Line the receipt would be printable at the registrant’s computer and a copy would be automatically emailed to them as well.
ISIS Administration – Editing/Adding Admin Users : ISIS Administration – Editing/Adding Admin Users From the Administration Functions page…. Now let’s look at editing existing Administrative users or new ones.
Click on 'User Info' Edit information as required in all fields. Be sure to be accurate. To change the Administrative 'Level' click on the down arrow and a selection list will drop down. When finished, click 'Save and Email' to save your changes and automatically send an Email to the User you’re editing. Click 'Save' to save your changes but NOT send an Email to the User you’re editing.
Click 'Cancel' to exit without saving. Click 'Delete' to delete this User This is the Administration User Edit page…. This is the Administration User List page…. You are returned to this page when you exit the User Edit page. Click here to create a new User. Click on an existing User’s name to edit. If you are finished, click on 'Administration' to return to the Administration Functions page
ISIS Administration – Editing/Adding Schools : ISIS Administration – Editing/Adding Schools From the Administration Functions page…. To add or edit Schools in your Registration area (if that’s important to you), click on 'Schools' This is the Schools page…. The '** Other' designation in the list is a default for use when no school is selected during registration – 'Other' cannot be removed or edited. To edit an existing school, click on the name of the school. To enter a new school, click on the 'Create New School' button This is the Create New Schools page…. Fill in all descriptive information about the new school Click 'Save' to save your changes and return to the Schools list page Click 'Reset' to clear the form and start over again. Click 'Cancel' to exit without saving.
ISIS Administration – Editing/Adding Game Locations : ISIS Administration – Editing/Adding Game Locations From the Administration Functions page…. To edit or add locations where games will be played, click on 'Locations This is the Locations list page…. In our demonstration system, several locations have already been created. In your new system, this area will be blank. To add a new game location, click on 'Create New Location' This is the Create New Location page…. Highlight 'New Location' with your mouse cursor and enter the name of the new location you are creating. Be specific to eliminate any user confusion. Give the new location an abbreviated name if it will be more recognizable to users VERY IMPORTANT – Enter an address for the new location - Include City, State and Zip as well as phone #, if available. Click 'Save' to save your entry and activate editing of the 'Resources' for this location. Notice that 'Resources' (fields, courts andamp; rinks) for this location are greyed out and not available for adding/editing. When you 'Save' this new location, the Resource window will become active. Now the 'Resource' editing area is active for this location. Click on the down arrow for a menu to select the type of resource (field, court or rink) Enter a clear and descriptive name for the first 'resource' at this location (Example: Court #1; Field #1; North Rink) Click here to add another 'Resource' to this location If you are finished adding Locations and 'Resources', click on 'Save' to save your entry and return to the Locations list page. To cancel this Location entry and return to the Locations list page (without saving your entry) click on 'Cancel' To delete this Location from the Locations list (if it is already listed there) click on 'Delete This Location' - All data about this location will be deleted. To save this new Location entry and add another new Location, click on 'Add Another Location'
ISIS Administration – Editing/Adding Sports Programs : ISIS Administration – Editing/Adding Sports Programs From the Administration Functions page…. To add a new sports 'Program' click on 'Programs' on the Administration Functions page This is the Programs page…. This demonstration page has existing programs to illustrate how they will look here.
If you are setting up your new system, this page will be blank. To create a new sports 'Program', click on 'Create New Program' This is the Programs Creation/Edit page…. You will want to give your new Program a name – There are two ways to do this.
The first way is to enter a Program name in this blank (Example: – Basketball Magic Tournament) There are five 'tabs' across the top of the New Programs page. Each deals with a different aspect of setting up your new sports Program.
This first one is the 'General' tab and we will start here The second way is to select the correct choices from each of these pull-down menus to describe the Program…
Then…. Click on the 'Use the Proposed Name button here –
If you use this method, the new Program will be named, 'Boys Fall Basketball 2003' Click the 'Program is Active' box if the program is to be listed as active. Enter the dates the Program will begin AND end.
IMPORTANT: To the ISIS system, a date begins at 12:00:00 (Midnight) and ends at 11:59:59PM. It is a good idea to be specific by entering a desired date and time (separated by a space.) Times can be entered in either Military/24 hour (Example: 17:30:00 = 5:30PM) or in standard/12 hour (6:30PM) formats.
A properly completed 'Begins On' date might look like this:
1/3/2003 8:00AM Enter text describing any special Eligibility requirements (Example: Copy of Birth Certificate required at Registrars office before play.) Enter any Notes you want to be shown (Example: Players can register up one grade but not down) Click this check-box if Individual Player registrations are allowed Check this check-box if registrations of complete Teams are allowed Clicking this check-box 'Activates' Registration for your program and causes it to appear as active on the Registration page.
It is best to wait until you have made and verified all settings before activating Registration for your Program. Now click on the 'Website Access' tab to go to the next page in setting up your new sports Program Clicking on the 'Website Access' tab brings up this page. You use this page to control what information is available for viewing on your registration website page.
If you have minors involved in your sports you may want to severely limit the amount of information that is available about them to unknown website visitors.
