Premium member Presentation Transcript Payroll/Finance integration (General Ledger Interface, Oncost and Commitments): Payroll/Finance integration (General Ledger Interface, Oncost and Commitments) Steve Catrastellero Functional Analyst BSS HR/Payroll Team SIG – July 2005 What are the GU requirements?: Griffith University has certain requirements for operational purposes: Raise commitments (encumbrances) for salaried staff as well as casual academics Charge the actuals per payroll Pay Period cycle Add the appropriate on-costs to the actuals and encumbrances Create the appropriate accounting entries Report these charges to clients via a report What are the GU requirements? Raising Commitments (Encumbrances): These commitments need to be raised for budgeting purposes and has the following rules : Raising Commitments (Encumbrances) Current Fiscal Year (GU has Jan – Dec) Next Fiscal Year Relevant On-Costs for the Earnings Actuals for the Pay Cycle: Actuals for the Pay Cycle Earnings Deductions On-costs Similar to the Encumbrance processing, the Actuals process will need to identify and process the following : Creating the Accounting Entries: Creating the Accounting Entries Actuals Journal Encumbrance Journal Deduction Actual Journal (summarised) After all the actual and encumbrance processing has generated the detailed data, processes are run to summarise totals for some chartfield combinations and then insert into a record for Journal Generator. 3 Journals will be created: Business Process Map: Business Process Map Client Reporting: Client Reporting Staff Profile Report – nVision report based on GL Department in Financials (published in directory as well as available on the GU Portal) Department Enquiry – available at the department level with more availability to drill-down on search Other Monthly Reports – compiled reports supplied to or run by GU - Finance and Business Services Reports which are currently in use - Other Enhancements: Other Enhancements Online panel for adjustment of historical actuals (earnings, deductions, and on-costs). This panel looks at the generated actual distributions and will show items that have been processed in the interface or have been adjusted previously (displayed for the current fiscal year). Troubleshooting: Troubleshooting Closed/Invalid chartfields Failed steps in the processes Processing time Interface Reconciliation Report and other reports Group Discussion: Do universities share similar requirements?
