Each business is run by its own set of rules, governed by a Code of Ethics. In the world of Financial Solutions such as Short Sales, there is another Code; that Code is Data Security. A common realtor is accustomed to protecting the best interests of their clients and keeping confidential information to themselves; but far too often does a realtor fail to acknowledge the severity and importance of data security. As you become an MMREM realtor, we demand you practice data security in both physical and web-based environments. You now have a new responsibility: Protecting your Client’s Non-Public Information (NPI) Compliance with the Privacy Act : Compliance with the Privacy Act Realtors handling Seller Financials must establish appropriate administrative, technical, and physical safeguards Gramm Leach Bliley Act. 1999 : Gramm Leach Bliley Act. 1999 All realtors are required to provide reasonable safeguards for sensitive information Realtor Growth : Realtor Growth INSTILLING A LEVEL OF TRUST IN PARTNERS AND SELLERS GAINING A COMPETITIVE EDGE BY BEING A RESPONSIBLE REALTOR Protecting our Sellers : Protecting our Sellers As many as 10 million Americans a year are victims of identity theft. What is sensitive information? : What is sensitive information? Personal sensitive information is a persons name in conjunction with other personally identifiable Information. SSN, DOB, mothers maiden name…etc. Corporate sensitive information is any proprietary information, business tactics, spreadsheets, trade secrets, financial information…etc. Physical Files : Physical Files Only keep what is necessary Limited Amount Physical Files : Physical Files Only those with a need to know Limited Access Physical Files : Physical Files Lock your computer when you leave your desk (Windows key + L) Limit of three files out at the same time Limit Exposure Lockup Procedures : Lockup Procedures All files must be locked in cabinets at the end of each day. Last person to leave must perform a walk through and lock up any files that may have been left out. IT Security : IT Security Passwords should be at least 8 characters including numbers and special characters Using appropriate mail service : Using appropriate mail service Any sensitive information is to be sent using encryption software or secure messaging. Encrypting Sensitive Email : Encrypting Sensitive Email Any email containing sensitive email must be encrypted using software comparable to PKZIP. The password is to be provided via Landline telephone.
