What is ‘5 s’ ?:

What is ‘5 s’ ? Five S is a concept for proper housekeeping and it is also known as ‘workplace management’ Five S is a series of steps taken for sustained house-keeping and work place management practices. 2

5 S SEIRI SEITON SEISO SEIKETSU SHITSUKE Improvement In Workplace Management 3 Japanese in their language call these steps as seiri, seiton, seiso, seiketsu and shitsuke.

seiri:

seiri An accumulation of unwanted items , takes up the precious space and affects efficiency . By practicing ‘SEIRI’, we can discard unwanted things and stop further waste. Reorganization - Form a team for proper planning. To locate unwanted items – carry out survey of work place. To recognize necessary and unwanted items - Use KJ Method (Affinity Diagram), Pareto analysis, functional analysis, take inventory etc. ) Method of sorting – Tag usage 4

To categorize the necessary items – Apply Stratification Management. To avoid time wastage & to bring the attention – do proper labeling of items. Rarely needed items – Store in ware house. Occasionally used items – Organize & keep at central place. Frequently used items - Keep neatly in a handy and easily identified place. Unnecessary items - If useful in other section or unit, hand over to them / sell / dispose. 5

Advantages of seiri Avoidance of error. Easy access to things. Eliminated unsafe situation. Prevented rusting or damage to materials Reduced inventory by disposal of scrap material/excess materials. 6

seiton:

seiton ‘SEITON’ means ‘straightening’ or neatness i.e. maintaining things in the right way. ‘SEITON’ helps to decide the way things are to be placed for smooth working. ‘SEITON’ involves safety and productivity. ‘SEITON’ helps in upkeep of Quality & Minimized inventory 7

It Keeps things based on: What, Where, How and How Much? Always keep things where they are required. All items are categorized and labeled. Care is taken to avoid duplication of same item. Keep items in a place (below table, work benches, fume hoods etc.) for easy access. 8

seiso ‘SEISO’ is inspection. Approach for cleaning: Assign roles and responsibilities Specify roles and work areas for SEISO Inspection and feed-back Provide necessary tools and equipments Make SEISO a day-to-day routine 10

seiketsu:

seiketsu It means ‘Standardization’ Standardized/ systematized storage / handling of items Impart knowledge systematically Improve Visual Management Improve alertness and control Use labels for Visual Management Position marking 11

shitsuke:

shitsuke It means Routine and self-righteousness Make the tasks - small or big - a habit Give clear Instructions / communications 12

‘FIVE S’ IN WORKPLACE (implementation):

‘FIVE S’ IN WORKPLACE (implementation) Remove Irrelevant materials from lockers, file cabinets, almiras , side racks etc. Necessary items shall be kept in a proper way. File index shall be prepared neatly. No loose paper shall be kept in any file. Glass top on table shall be kept clean. Locations shall be fixed for telephone, desk calendar, in-out tray etc. 13

Every thing shall be kept with proper labeling. Calendar and all visual displays of the room have to be updated. Local Area network (LAN) and storing reference information in compact disc shall be adopted to reduce the paper work and avoid keeping unwanted information in the PC. Every thing shall be stored in a fixed place. Old records shall be kept with proper identification. All dividing lines and notice boards shall be clearly indicated. 14

Regular cleaning of floor, windows, windowsills and shelves, corners of the wall, ceiling, grills has to be done. Floor conditions, electrical fittings, proper plugs, sufficient light, condition of table and chair shall be taken care of.
