Defining the Problem &Understanding the Issues Sabrina Vales: Administrative Assistant The scheduling of facility rooms for church and non-church related events have run into a variety of problems such as rooms being left untidy, the church being left unlocked, and scheduling conflicts. Procedures need to be improved upon in order for Reunion Church to transition from a small church environment to an intermediate sized church environment.

Results From:Questionnaires & Interviews Negative Effects Observed: Last minute, behind the scene details not planned for cause disorganization & confusion. Too few keyholders do not promote flexibility & respect of keyholder personal time. Mentality that believes it is easier to use a restaurant etc for certain events or meetings because this bypasses the need to deal with the proper procedures & clean up. This discourages members who may not be able to afford to attend meetings outside of the church. ‘This is the way we’ve always done it’ mentality; small church culture transitioning into intermediate church culture.

Solutions Presented toReunion Community Church Meeting Minutes need to be taken by a very thorough and detail oriented individual. The minutes need to be typed, saved to file, and distributed to leaders as soon after the meeting as possible. Previous Meeting Minutes need to be read at the beginning of meetings to track progress and implement accountability. A corkboard dedicated to ‘Volunteers & Skills Needed’ should be be permanently posted in Grace’s. Online Websites additions/changes: 1) a Calendar that shows special bookings of events. (different from church’s reoccurring events) 2) Request Forms made available online

Solutions Presented toReunion Community Church Continued training until problem is resolved. This may require different forms of training since people have different learning styles. New CheckList with a pre and post area that is to be marked off and left on Sabrina’s Desk prior to locking up after an event. This will aid in accountability. Keyholders may need to be changed if standards and procedures continue to not be met. An assessment of who the keyholders are. As new procedures are implemented, a reassessment of who the keyholders are. Increase the amount of keyholders from 4 people to 7 in order to not cause volunteer burn out and to respect volunteer personal time.

Conclusion : 

Conclusion In Conclusion, Reunion Community Church is in the middle of transition due to their growth; growth in membership and in square footage. They’ve had problems arise in regards to the use of their facilities due to this growth and various other contributing factors. New policies and procedures need to be put in place in order to resolve this issue. Leaders need to continue to come inline and understand that just as with their spiritual walk; change is good. Our Communication Team believes that if the solutions we suggested are applied, that collectively they will lovingly aid the leaders at Reunion during this exciting time, benefit the whole community, resolve this weak-link area and strengthen other areas of the church as well.
