Grocery, Retail, Department of DefenseHow It All Started: How It All Started The American National Standards Institute Materials Handling Sub committee (ANSI MH10.8) wanted to make a standard shipping label. Over 200 companies met for 2 ½ years. The outcome of the committee was:Ta Da!! : Ta Da!! A shipping label in North America should probably be four inches wide. Put a serial number on the carton. Send all of the information that can’t possibly fit on the label in an electronic ship notice.UCC Common Shipping Label: UCC Common Shipping Label The UCC (GS1-US) built on the work done: Create zones on shipping labels Font sizes Bar Code symbology types Application Identifiers (420) for Zip Code (00) for Serial Shipping Container Codes (91) Company Assigned Number (i.e. Store Number) (410) Global Location NumberSlide10: A – Ship From B – Ship To C – Carrier Routing Bar Code D – Carrier E – Trading Partner Data (PO, Dept) F – Trading Partner Data G – Final Destination Code H – Final Destination Text I – SSCC-18 Bar CodeSlide11: Various bar codes, including the one which carries the Serial Shipping Container Code (SSCC) encoded in UCC / EAN – 128 SymbologyYou can call me Ray, or you can call me Jay or you can call me…..: You can call me Ray, or you can call me Jay or you can call me….. Each individual unit is allocated a unique serial number, the SSCC (Serial Shipping Container Code), which must be different for every logistic unit. Even if the logistic units contain identical trade items, they still require different SSCCs.”Global Trade Item Numbers: Global Trade Item Numbers “Any item (product or service) upon which there is a need to retrieve pre-defined information and that may be priced, or ordered, or invoiced at any point in any supply chain.” Family of GTINs EAN– 8 (GTIN-8) UCC – 12 (UPC, GTIN-12) EAN – 13 (GTIN-13) EAN/UCC – 14 (GTIN-14)Storing GTIN’s : Storing GTIN’s We have REMOVED the SUGGESTION that GTIN’S can be stored right justified and zero filled from the GS1 General Specifications. There are a number of ways to correctly store them. Some applications use fourteen digits: Pad with two zeros when putting a UCC-12 in some types of bar code symbologies and in RFID chips. Some symbologies require an even number of numbers and since GS1 supports EAN-13’s, we “round it up” to 14. BUT when you decode the UCC-12 it goes back to it’s original 12 digits.Carton Content Labels: Carton Content Labels Assign a GTIN for the carton and/or inner pack even if you don’t sell it that way. Retailer requirements are very diverse No way to recover from an error One piece of bad data negates an entire ASN Error notification not soon enough and does not contain the detail needed to fix it Testing ineffectiveWhat Can Retailers Do?: What Can Retailers Do? Accept multiple ship notices per shipment Tie them together with the BOL (TL / LTL) and throw away duplicate SSCCs and keep additional ones Allows vendor to send, for instance, one ASN per PO. If one fails, they don’t all fail. Don’t ask for PRO number or Invoice Number Ask for them on the Invoice – but not the ASN Send a simple PO to get a clean ASN One PO equals one ship-to, one ship method, one ship date Don’t fail an ASN because it doesn’t match the PONew Ship Notice Delete Function: New Ship Notice Delete Function XRG added a “03 Delete” code to the 856 Ship Notice If the vendor realizes they have sent a bad ASN, they send it again with the Delete code in the BSN01 Then they can send a good one with the “00 Original” code in the beginning segment Many retailers will NOT be able to use this tool It is in EDI version 5020 The only way this can work is if there is a unique number for every 856 Ship Notice (NOT the BOL) in the BSN02. That’s the number used to identify each 856 Transaction Set (like an Invoice Number or PO Number).Error Notification: Error Notification Send as soon as possible Send detail in business language If possible, use standard VICS error codes Vendors rated JCP as their favorite: E-mail address sent in the 856 JCP determined critical vs. non-critical errors If there is a critical error, they send an email with a link to their vendor web site with the detail The 856 is removed from their system The vendor must send a good one ASAP The process 14 times a day and send error notifications 5 times a dayWhat Can the Vendors Do?: What Can the Vendors Do? Stop batching 856’s overnight – send them right away The vendor and/or the retailer can set up a separate mail box just for ASNs Kick off multiple send transmissions a day Look into EDI over the Internet Package Carrier ASN’s are ONE per PACKAGE Use carton content bar code labels on each standard carton to help pick correct items Thoroughly test their systemsRetail EDI Testing: Retail EDI Testing Create three or four test GTIN’s Print on cards in bar code and human readable GTIN Description Send to the vendor Place in both Item Masters Create a PO, PO Change Vendor ships with the correct shipping label on an envelop which goes to the testing department Send a Ship Notice Send an Invoice Test anytime by requesting / sending a PO with the Test GTIN’sUnderstand Retailer Requirements: Understand Retailer Requirements Vendor Compliance Federation created a ship notice work group Created a solution matrix Best Business Practices were identified for issues But most solutions were: “Understand your retail customer’s requirements for……” So we make a Retailer Check List Available for Members and Non-Members on the VCF home page (www.vcfww.com)Q & A: Q & A Intellectual Property: Intellectual Property A copy of this presentation is made available to you for use within your own user company.
