To keep our members safe Brotherhood/Sisterhood Create a healthy social environment Ensure the future of our Greek community Maintain our right to a self governing body To have fun! Responsibilities: Responsibilities Ensuring the safety of your brothers/sisters and guests Following party procedures Making sure your facility is safe Seeing that your chapter abides by your chapter’s insurance policy Watching out for your new members Panhellenic and IFC have a zero tolerance policy for hazing…it’s the risk manager and new member educator’s job to ensure the new members’ safety!!! At socials, it’s important to watch out for younger members/actives or guest who may find themselves in trouble with alcohol. Staying sober at social events-minimizes problems should law enforcement officers become involved, controls over-consumption, ensures situations don’t get out of handCo-sponsorship: Co-sponsorship Alcohol Resolution 2000 Sorority Chapters may not co-sponsor any event at a fraternity facility where alcohol is present. Ways to establish co-sponsorship include, but are not limited to: contributing money to an event advertising an event with a chapter’s letters or name affiliated with it (t-shirt, booklet, etc.) sending e-mail’s promoting an event via a list server, flyer, etc… talking about an event at a chapter meeting Homecoming & Humo: Homecoming & Humo Homecoming & Humo Pairing Events ARE considered co-sponsored events (cast parties, pomping, etc.) and ALL chapters in the pairing are held responsible for any and all violations. Fraternities are expected to follow sorority policies, or the strictest chapter’s policy. This means NO ALCOHOL, unless at a 3rd Party Vendor.The perception of co-sponsorship: The perception of co-sponsorship Perception can play a large role in defining “co-sponsorship” as well. How an event appears from an outsider looking in contributes to what constitutes a co-sponsored event. In a court case, this gray area is NOT a loop hole. If it looks like a fraternity/sorority event to a jury, they WILL hold the chapter/national office accountable. Party Definition: 20 non-members at an event. All parties must have a typed guest list at the entry for the entire duration of the party. All events require a social contract, along with the other requirements as outlined on the party visitation form. Socials: Socials Social contracts www.uwgreek.com ALWAYS due on the Wednesday prior to the event by 5 p.m. $25 per day late No contract in at the time of the event=$200 fine & J-board referral Each chapter must submit a contract even if for the same event. First contracts due this Wednesday, September 19th, 5 pm Halloween contracts and guest lists are due October 10th, 5 pm Third party vendor Constantly check the approved list that we provide. ***If you want to have a party at a 3rd party vendor that is not on the approved list, you must contact your VP of Risk Management (IFC/Panhel) 2 weeks prior to the event in order to get it approved (we will not accept late requests)*** Social Preparation: Social Preparation *Have your paperwork filed prior to the event* Social Contract filed at uwgreek.com 3rd party vendor contract/contract with Security Company Note: Get what you expect out of 3rd Party Vendors & Security Companies IN WRITING Carry all necessary numbers with you at all events and keep them clearly posted (fluorescent sheet provided) Keep party themes and décor appropriate Any party over 200 people or involving two chapters must have professional security. Security is NOT a substitute for sober monitors.3rd Party Vendors: 3rd Party Vendors Due to capacity set at 49 by the City of Madison, so most events will have to be at 3rd Party Vendors Any party over 200 people or involving two chapters must have professional security. When using a 3rd Party Vendor make sure you: Have a detailed contract with the vendor Start and End time Security Wristbanding Expectations you have of them… Having a contract will protect you and your chapter if anything serious happens due to a mistake made by the vendorSober Monitor Duties: Sober Monitor Duties Sober Monitor duties include (but are not limited to): Monitor potential overcrowding of the party at the door in compliance with the city fire ordinance. Stop those leaving a party from taking any visible alcoholic beverages with them. If people are outside, fences should enclose the party. No alcohol will be served after 2:00am. Monitors from all participating organizations will be available throughout the party to escort guests home. Watching out for guest and members over-consumption of alcohol, underage drinking, and safety needs. SOBER MONITORS CANNOT BE NEW MEMBERS (once they are initiated/activated they can be sober monitors) There must be one sober monitor per 50 guests with a minimum of 3 sober monitors Example: If you have 100 guests, you must have at least 3 sober monitors Example: If you have 250 guests, you must have at least 5 sober monitors The Basics: The Basics Parties end at 2 am NO EXCEPTIONS 21 means 21 period. No serving underagers Alcohol is NOT for sale, except @ a 3rd party vendor, nor is charging admission to a party acceptable Chapter funds can NEVER go towards purchasing alcohol NO drinking games No pre-mixed drinks if you’re allowed to have hard alcohol NO alcohol should be present at ANY new member activities Non-salty foods and non-alcoholic beverages must be available in plain sight Expectations: Expectations Occupancy should NEVER exceed room capacity (49 people for most chapters ) You must allow IFC/Panhel to enter immediately Cooperate with law enforcementMust have a Posted Sign: Must have a Posted Sign Phone #s for 2 licensed taxi services Police ph. # Fire Department ph. # Safe Walk ph. # (We’re giving you one. Ways to avoid bad things from happening to your chapter, your members or your guest… 1. Don’t over serve…Be aware of people’s limits. 2. Encourage members not to drink prior to events. Your chapter can be held liable for people who show up intoxicated to an event. 3. Don’t give alcohol as gifts to new members or have missions involving alcohol. 4. If someone has had too much to drink and you even slightly suspect alcohol poisoning take them to the hospital. Only a trained professional can make that call. 5. If things get out of control, shut a party down or call the police.Signs of Alcohol Poisoning : Signs of Alcohol Poisoning Person is unconscious or semi-conscious and cannot be awakened. Cold, clammy, pale or bluish skin Slow or irregular breathing Vomiting while “sleeping” or passed out, and not waking after vomiting. *There may be other signs as well, when in doubt get medical help! Other behaviors that can put your chapter at risk (individual/chapter behaviors) : Other behaviors that can put your chapter at risk (individual/chapter behaviors) Pranks Defacing property Stealing=felony charges (this includes composites!) Fights Sexual Assault Hazing Disorderly conduct (i.e. public urination)Hazing: Hazing Zero tolerance policy FIPG defines hazing as “any action taken or situation created, intentionally, whether on or off fraternity/sorority premises, to produce mental or physical discomfort, embarrassment, harassment, or ridicule” Resources www.stophazing.org Risk Management PacketTough Times: Tough Times Chapter Presidents and Risk Management chairs are also the go-to people in times of a death, tragedy, or Court action Know your chapter’s crisis plan- if you don’t have one, make one (example in RM packet) The president is in charge, he/she should be the only one speaking for the chapter Always close down the chapter until a plan of action has been determined Notify the University/National Office immediately!!!Use your resources: Use your resources We are here for you!
