EUROGENE – The First Pan-European Learning Service in the Field of Genetics 3 Partner 01 – EGF (Coordinator) EGF - Presentation: The European Genetics Foundation – EGF – is the is the leading partner (Coordinator) of the EUROGENE Project. EGF has coordinated more then 10 EU funded projects and has gained a proved experience in management and coordination. EGF was founded in 1996 by a group of researchers who were already involved in the activity of the European School of Genetic Medicine, set up in Sestri Levante (Genova, Italy) in 1988 by Professor Victor A. McKusick (Baltimore, USA) and Professor Giovanni Romeo.   EGF Activities range from the organisation of high level scientific training (the Nobel Prize Mario Capecchi is the director of the ESGM Cancer Genetics course) to the development of distance learning tools using the latest web technologies available. To enhance the availability, the share and the quality assessment of digital educational contents is an integrating part of EGF efforts to improve the competitiveness of training and research in Europe in the field of Genetics.

ECP-2006-EDU-410018 Start date: 1 October 2007 Duration: 3 years Budget: Eur 3.599.994 co-funded at 50% by the EC

EUROGENE – General Objective: 

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 6 EUROGENE – General Objective The EUROGENE objective is to migrate towards more efficient development of higher quality (multimedia) didactic material on genetics through the guided editing and “assembly” of educational packages based on the consortium proprietary learning design metadata framework and the sharing of different types of “learning objects” between content owners, in 9 languages.   The project proposes to do so by establishing the EUROGENE web portal as a reference point for the sharing of a critical mass of educational content items and packages, offering an integrated toolset and service for content authors.

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 7 EUROGENE – Aim of the Meeting Here are some key elements for the Meeting: 1- All partners understand the EUROGENE Project 2- All partners understand administrative behaviour within the Project 3- All partners should go home with a precise list of action items and tasks 4- At this stage all partners should be aware that we must achieve 70 CP within the 3 years. 5- All partners should be aware that we should achieve 300.000 content items in the 3 years 6- All partners should be aware that we should progressively achieve a sustainable business model for Eurogene.

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 12 Financial issues Total Budget Eur 3.599.994 co-funded at 50% by the EC Pre-financing (EC) – see page 53 of annex 1 for details 3 Instalments up to 80% of the requested Community contribution paid to Coordinator as follows: 1st instalment: 26,5% of the EC Contribution within 45 days from the reception of all partners signed Annex III (Form A). 2nd Instalment: Month 12. 26,5% of the EC Contribution provided the consortium has managed to spend ≥ 70% of the earlier pre-financing and submitted all the reporting to the EC. 3rd Instalment: Month 24 at same conditions. Final Payment (EC) At Project end (M36)

Financial issues : 

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 13 Financial issues Justification of costs: Eligible costs will be reimbursed where they are justified by the Beneficiary. The Beneficiary must maintain the accounts of the Project and appropriate documentation to support and justify in particular the costs and time reported in his financial statements. All the working time charged to the Project must be recorded throughout the duration of the contract and be certified by the person in charge of the work designated by the Beneficiary or by the duly authorised financial officer of the beneficiary. Please be aware that the costs you’re allowed to charge to the project are: Travel and Subsistence, Personnel and (only for EGF, SEGESTA and SYSTRAN) Other Specific Costs.

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 14 Financial issues Please note that: All the Instalments are subject to the reception and approval of the deliverables and of the reporting documentation (progress reports and cost statements). Project accounts and time sheets must be kept for at least 5 years after agreement completion date. All payments by the EC will be made to the Coordinator who will distribute to other beneficiaries.

Such persons must be: directly hired by the beneficiary be remunerated in accordance with the normal practices of the Beneficiary Personnel costs comprise the actual costs (included charges). Personnel costs for the present Project have been calculated on the basis of the data provided by each partner and the Man months assigned. Please check Article 14 in Annex II for more details

Travel and subsistence Each partner has been assigned an amount for travel and subsistence that will cover actual travel and related subsistence costs incurred during and for the Project. Other Costs Only P01, P02 and P12 – other costs cover software licensing and web hosting. Please check Article 14 in Annex II for more details

Overheads cover the following costs, which may not be charged separately: General management and dissemination costs Depreciation of buildings and equipment Rent Insurance Heating, water, electricity Office furniture and office supplies Personal Computers Telecommunication and postal charges Please check Article 14 in Annex II for more details

Deliverables and reporting : 

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 20 Deliverables and reporting Progress Reports and Final Report: Progress Reports for this Project are to be submitted every 6 months (see also attached deliverables list). Each Progress Report describes the work progress and results by work packages and tasks both in terms of work done and of costs incurred. Work progress and results: By WP and Task By status of the Deliverables and Milestones By indicators: actual vs. expected Resources employed: By WP. Each beneficiary have to justify the costs incurred in the period. Note that the personnel costs must be consistent with the records of time worked by your staff.

Deliverables and reporting : 

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 21 Deliverables and reporting Progress Reports and Final Report: The Final Report has to be submitted at Project end (M36). It describes: all the work done objectives, results and conclusions Exploitation prospects It shall include a summary for publication Please note that: All the templates for the reporting are provided by the Commission and will be sent to you pre-filled with the project data by the Coordinator. WP Leaders will have to manage (obtaining data and information) and merge the reporting from all partners involved in their Work Packages. The Coordinator will produce the final document to be sent to the EC based on the contributions by the WP Leaders (progress reports) and of all the Partners (financial statements).

Deliverables and reporting : 

EUROGENE – The First Pan-European Learning Service in the Field of Genetics 22 Deliverables and reporting Deliverables: Deliverables provide information on Project achievements according to: work phases described in the Work Packages (see DoW) time schedule provided in the deliverable list (see DoW – p. 44) Deliverables Submission: Deliverables must be submitted to the EC in paper format as well as in electronic format within the deadlines set in the Description of Work. WP Leaders will submit their (electronic version) deliverables in the apposite template to the Coordinator who will provide to forward them to the EC.

If the Commission do not send any remarks within 45 days of receipt of Deliverables, the latter shall be deemed to be approved. Please note that: The Commission may revise the approval of any deliverable following an audit or a review (see articles 18 and 19 in Annex II).
